addmein Inc. ("addmein," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered task management service, including our website and mobile web application (collectively, the "Service"). Please read this policy carefully. By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy.
1. Information We Collect
We collect information that you provide directly to us when you create an account and use the Service. This includes your account information such as your name and email address, which are required to create and maintain your account.
When you use addmein, we collect and store the task data you create, including tasks, projects, notes, next actions, due dates, and any other content you input into the Service. We also collect and store your AI conversation data, including messages you send to our AI assistant and the responses generated for you.
We automatically collect certain usage data when you access the Service, including your device information (such as device type, operating system, and browser type), IP address, access times, pages viewed, and the actions you take within the Service. This information helps us understand how our Service is used and how we can improve it.
2. How We Use Your Information
We use the information we collect to provide, maintain, and improve the Service. This includes processing your tasks and projects through our AI systems, personalizing your experience, and ensuring the Service functions correctly and efficiently.
Your task data and conversation history are used to provide AI-powered features such as task organization, daily briefings, weekly reviews, and intelligent suggestions. We also use your information to generate insights and recommendations tailored to your productivity workflow.
We may use your email address to send you service-related communications, including account verification, security alerts, technical notices, updates, and support messages. We will not send you marketing emails without your explicit consent.
3. AI Processing
addmein uses third-party AI providers, including OpenAI and Google, to process your tasks and conversations and deliver the core features of the Service. When you interact with our AI assistant, your messages and relevant task context are sent to these providers for processing.
We have agreements with our AI providers that prohibit them from using your data to train their models. Your data is processed solely for the purpose of generating responses and performing actions within the addmein Service.
We apply data minimization principles and only send the information necessary for each specific feature to our AI providers. For example, a task creation request will only include the relevant task details and minimal context, not your entire account history.
4. Data Storage & Security
Your data is stored in PostgreSQL databases hosted on Neon, with servers located in the United States. All data is encrypted at rest using AES-256 encryption and in transit using TLS 1.2 or higher.
We implement industry-standard security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include secure authentication mechanisms, access controls, and regular security reviews.
While we strive to use commercially acceptable means to protect your personal information, no method of transmission over the Internet or method of electronic storage is 100% secure. We cannot guarantee the absolute security of your data, but we are committed to maintaining the highest reasonable standards of protection.
5. Third-Party Services
We use the following third-party services to operate and deliver the Service. Each provider has its own privacy policy governing the use of your information:
- OpenAI and Google — for AI processing, including natural language understanding, task analysis, and generating responses to your conversations.
- Neon — for database hosting and authentication services, providing secure and scalable storage for your account and task data.
- Stripe — for payment processing, should paid features be introduced in the future. Stripe handles all payment data directly and we do not store your credit card information on our servers.
We carefully evaluate all third-party service providers to ensure they meet our standards for data protection and privacy. We only share the minimum amount of data necessary for each provider to perform their function.
6. Your Rights
You have the right to access the personal data we hold about you at any time. You may request a copy of your data, including your tasks, projects, entities, and conversation history, by contacting us at privacy@addmein.com.
You have the right to correct any inaccurate or incomplete personal information in your account. You can update most of your information directly through the Service, or contact us for assistance with any data you cannot modify yourself.
You have the right to request deletion of your account and all associated data. You may also export your data at any time and opt out of any non-essential communications. To exercise any of these rights, please contact us at privacy@addmein.com.
7. Data Retention
We retain your personal information for as long as your account remains active or as needed to provide you with the Service. If you choose to close your account, we will delete your personal data within 30 days of receiving your deletion request.
Notwithstanding the foregoing, we may retain certain information as required by applicable law, regulation, or legal process, or for legitimate business purposes such as resolving disputes, enforcing our agreements, and preventing fraud. Any such retained data will be handled in accordance with this Privacy Policy and applicable law.
8. Cookies
addmein uses a minimal set of cookies strictly necessary for session management and user authentication. These cookies are essential for the Service to function and cannot be disabled without affecting your ability to use the Service.
We do not use third-party tracking cookies, advertising cookies, or any cookies for the purpose of behavioral tracking or targeted advertising. We believe in a privacy-first approach and only store what is technically necessary to provide you with a secure and functional experience.
9. Children's Privacy
The Service is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under the age of 13, we will take immediate steps to delete such information from our records.
